A missing pallet, an opened cage or an unexplained stock discrepancy rarely begins with a dramatic break-in. More often, it starts with a handover nobody can verify. This warehouse security seals guide explains how to use tamper-evident seals to make access visible, strengthen chain of custody and give operations teams a clear point of control.

A security seal is not a substitute for physical security, access control or sound warehouse procedures. It is evidence. When selected, applied and recorded properly, it shows whether a door, bag, trolley, cabinet or consignment has been opened since it was last checked. That evidence can reduce disputes, speed up investigations and improve accountability across shifts, sites and transport partners.

What warehouse security seals are designed to do

Warehouse seals create a visible barrier that must be broken, cut or permanently altered to gain access. Each seal should carry a unique serial number, barcode, QR code or other identifier that can be recorded at dispatch and checked at receipt.

The value is in the comparison. If the number recorded on a pallet cage at handover matches the intact seal at the next checkpoint, the receiving team has a straightforward confirmation that the unit remained secured in transit. If the seal is missing, damaged or carries a different number, the process should trigger an exception check before stock is accepted or moved on.

This makes seals useful wherever goods, documents, keys, tools or sensitive materials pass between people. Common warehouse applications include roll cages, stillages, tote boxes, curtain-sided vehicles, loading dock doors, high-value inventory cabinets, pharmaceutical shipments, waste bins and restricted equipment.

A seal does not prevent a determined attack in every case. A light plastic pull-tight seal can be cut quickly with basic tools. Its purpose is to make unauthorised access apparent, not to replace a lock on a high-risk asset. The right level of seal depends on what is being secured, how long it is unattended and what the consequence of interference would be.

Choosing the right warehouse security seal

Start with the application, not the product name. Consider the aperture size, material being secured, environmental exposure, access frequency and whether the seal needs to resist casual interference or provide high-security protection.

Plastic seals for everyday control

Adjustable plastic pull-tight seals are widely used for cages, bags, trolleys, cartons, fire equipment and internal stock movements. Their variable-length strap suits a range of locking points, while clear numbering supports basic chain-of-custody records. Fixed-length plastic seals can be a practical choice where the locking arrangement is consistent and fast application matters.

For busy operations, the best plastic seal is often one that is easy to fit while wearing gloves and easy to inspect at a glance. A long, thin strap may suit mail bags or tote boxes but be unsuitable for a wide-hasp cage door. Select a seal with sufficient strap length and a locking mechanism that cannot be opened and reclosed without visible damage.

Cable seals for variable openings

Cable seals use a metal cable that can be threaded through irregular or larger apertures. They are suited to truck doors, shipping equipment, valves, meter boxes, cages and equipment that cannot be secured with a narrow plastic strap. Once locked, the cable generally needs cutting for removal.

Cable diameter is a trade-off. A thinner cable is more flexible and fits smaller openings, while a thicker cable provides greater resistance to cutting. Confirm that staff have an approved cutter available at the receiving point. A secure consignment can still become an operational delay if nobody can remove the seal safely.

Bolt seals for freight containers and high-risk loads

Bolt seals are designed for freight container doors and other applications requiring a high level of physical resistance. For international container movements, many operators require high-security bolt seals that meet ISO 17712 requirements. The seal body and pin lock together permanently and require bolt cutters for removal.

Do not assume every bolt-style seal meets the same standard. Where customer, carrier, border or insurance requirements apply, verify the product classification and supporting certification before purchase. For domestic warehouse use, a bolt seal may be more protection than required, but it can be justified for high-value stock, controlled goods or long unattended transport legs.

Padlock seals, labels and bags

Padlock seals provide tamper evidence for latch points where a conventional pull-tight seal will not fit. Tamper-evident labels and tape suit cartons, cabinets, asset panels and packaging, typically leaving a visible message or surface change after removal. Tamper-evident bags combine containment and evidence for cash, confidential documents, samples, evidence and small high-value items.

These products work best when the surface and workflow are understood. Labels may not adhere reliably to dusty, wet or heavily textured surfaces. Bags need the correct capacity and closure type. Test a sample on the actual asset or packaging before committing to a site-wide specification.

Build seal control into the warehouse workflow

A seal only provides useful evidence when its identity is controlled. Handing out unrecorded seals from an open box removes much of their value, because no one can later prove which seal was assigned to which load or asset.

A practical process records the seal number, date and time, operator, asset or consignment reference, and the location where the seal was applied. At the next control point, staff compare the number and seal condition against the record before opening the unit. This can be managed through a dispatch document, warehouse management system, transport manifest or a simple controlled register, depending on operation size.

For consistent results, set clear rules around four controls:

  • who is authorised to issue and apply seals;
  • where unused seals are stored and how serial sequences are controlled;
  • what a receiver must check before breaking a seal; and
  • what staff must do when a seal is missing, damaged or does not match the record.
The exception process matters as much as the seal itself. Staff should photograph the issue where appropriate, isolate the consignment if required, notify the responsible supervisor and document stock checks before goods are released. The response should be proportionate to the risk. A broken seal on a low-value internal consumables cage is different from a mismatch on a pharmaceutical shipment or cash bag, but both need a traceable record.

Serial numbers, barcodes and custom printing

Sequential numbering is the minimum requirement for most chain-of-custody applications. It gives each seal a distinct identity and allows teams to identify gaps, duplicates or mismatches. Barcodes can reduce manual entry errors where seals are scanned into dispatch and receiving systems.

Custom printing can add the business name, logo, department identifier, warning text or colour coding. This is useful where seals move through multiple facilities or are handled by third parties. A clearly branded seal is harder to substitute unnoticed than a generic item, especially when staff are trained to check colour, format and serial range.

However, customisation should support a control process rather than become the process. A logo does not confirm a seal was issued legitimately. Number control, inspection and documented handover still do the essential work.

Colour coding can help teams distinguish use cases quickly, such as blue for outbound stock, red for quarantine, yellow for maintenance isolation and green for verified returns. Keep the scheme simple and documented. Too many colours or local exceptions create confusion across shifts and sites.

Inspection points that catch problems early

Inspect seals at the moments when custody changes: after packing, before vehicle departure, at gate release, on delivery, at return receipt and before a controlled area is reopened. For long transport routes, additional checks may be appropriate at cross-docks or overnight holding locations.

An effective inspection is more than confirming that something is attached. Check that the serial number matches the paperwork, the locking mechanism is intact, the strap or cable has not been cut and rejoined, and the seal is fitted through the correct locking points. Look for unusual scratches, glue residue, heat damage, mismatched colours or parts that appear substituted.

Training should include examples of both correctly applied seals and common failures. Staff need confidence to stop and escalate a mismatch rather than assuming it is an administrative error. That culture protects the receiving team as well as the sender.

Match product supply to operational reality

Procurement decisions should account for more than unit price. A low-cost seal that breaks during application, has unreadable numbering or arrives late can create greater cost through delays, rework and weak records. Confirm material suitability for heat, UV exposure, cold storage, chemicals and rough handling where relevant.

Also consider pack quantities, lead times and whether your operation needs custom numbering, printing or colours.
